Hosting a Pick-Up Site

Thank you for hosting a pie pick-up site! Whether this is your first time, or you're a pro, here are some tips to get your started! With more than 100 pick-up locations, we're hoping everything goes smoothly for you, our volunteers, and our pie buyers.

In advance:

  1. Prepare your site to accept delivery of boxed pies, sorted by flavor, on Tuesday 11/26 (unless other arrangements have been made). Inventory the pies when you receive them, compared to the Pick-Up Site Summary . Please do not sell any “extra pies” before the pick-up day!
  2. Pies do not need to be refrigerated, but should be kept in a cool, dry place (away from heating units/vents/radiators) and secured overnight.
  3. We recommend having two 6- or 8-foot tables available for pie distribution.
  4. Schedule two people to staff the table during the hours of customer pick-up on Wednesday 11/27. We suggest you confirm your staffing or shifts in advance.
  5. Before the pick-up day, buyers will receive an email from Community Servings, reminding them to pick up their pies and include pick-up site location address and hours (if they were provided to us)

On pick-up day:

  1. Set up! Set up your tables, unpack the master boxes of pie, and have your Order List handy. If you have any problems please call 617-404-5188 for immediate assistance.
  2. Hang posters to help direct people picking up pies. Remind anyone at your site who might get phone calls, oversee parking, or by your entrance where the Pie in the Sky pick-up is happening.
  3. Remember, all orders are pre-paid. Additional donations are of course appreciated.
  4. Towards the end of the day, "extra pies" may be sold. Secure any cash, checks, or credit card donations - each with a paper order form - and mail to Community Servings on Monday 12/2.
  5. Anyone looking to purchase pies can buy your extras at the end of the pick-up date, or direct to one of our cash and carry locations. Remember, your "extras" are intended for anyone who thinks they should be on your list, or if a pie gets broken or damages, etc.
  6. Two hour before the close of your site's publicized hours, call buyers who haven't picked up their pies. Remind them of the time you're closing. Now is also a good time to sell any of your extra pies!
  7. When your pick-up site closes, if there are any pies that haven't been picked up, feel free to sell to interested buyers or donate them. Local fire stations, police stations, or homeless shelters would welcome donated pie!

After pie distribution:

  1. Mail any orders for the extra pies, or donations received, along with the paper order forms, to: Community Servings, attn: Pie in the Sky, 179 Amory Street, Jamaica Plain, MA 02130

FAQ

  • What if someone comes for his/her pie & he/she is not on your list? Do they have the order confirmation or reminder email handy? Maybe their order is under another name? Check if their order is at another pick-up site - their email confirmation/reminder email shows the pick-up location that they chose. If the email lists your site just give them their order as their receipt shows. Note the number used of your extra pies. If they don’t have the email receipt/reminder email you can check simply hand them one of your “extras” and take down their first/last name. Your site will have extras for this reason.
  • Apple Crumble vs Apple Crust pies. We know everyone has their preference, but because our pies are baked and donated by 100 different bakers, we cannot guarantee your site will receive both. Feel free to direct any buyers to call us with any issues re: their pies.
  • What if someone wants to buy pies on the spot? Thank them and let them know you might have some for sale later in the day - roughly 2-3 hours before your site closes. They can return then, or visit one of our Cash & Carry locations which are more likely to have more pies for sale.
  • What if someone wants to make a donation? Wonderful! Have them fill out a paper order form so we can email them a receipt. Cash, check, or credit card is acception. They can also donate online at www.servings.org/donate
